The key to faster and more accurate resolution of warranty claims is clear communication. That communication consists of three important parts:
We need to be able to accurately identify and understand the issue. Was the product damaged? Is it the wrong item or color? Are parts missing? Is something defective?
Please describe the problem and identify the part or parts that need attention. The more specific you can be about what and where the problem is, the better.
If there is a problem with a specific window or door, for example, circling it on a copy of the plan helps us identify exactly which component needs attention.
Photos are also extremely important. Almost no warranty claim can be filed with our vendors without photos, especially when a service call is required. Please include:
The goal is to give us—and the vendor—a clear picture of the problem and the conditions surrounding it.
Let us know what type of resolution you need.
Should we ship you a new part? Do you want the vendor to come out and repair the item? Should the vendor send replacement parts directly to you, or will Amwood need to deliver the item to the jobsite because it is too large for UPS or another parcel service?
If you are requesting vendor service, we will also need the name and phone number of a contact person who can schedule the appointment and provide access to the home. This can be someone from your company or, if the home is occupied, the homeowner.
Finally, let us know about any extenuating circumstances or potential obstacles that could affect timing or service.
For example:
If the home is occupied and the homeowner winters out of state: We need to know when and how a service technician will be able to access the home.
If siding is scheduled to begin in six weeks and a complete window unit needs to be replaced: Let us know. We can determine whether expedited service may be necessary to get the replacement window to the jobsite before siding begins.
A Little Information Upfront Can Save a Lot of Time
The number one cause of delays in warranty claim resolution is a lack of photos showing the necessary details, followed closely by insufficient identification of the item or unit in question and the problem that needs to be fixed.
When we have all the information we need, we can usually have replacement parts ordered within a day or two of receiving the claim. When information is missing, there will be delays—and potentially several interruptions to your day while we work to track down the details.
Providing complete information from the beginning helps us get your claim moving as quickly and accurately as possible.
